Coaching Client Agreement
Coaching Client Agreement for HopeheartsLove

This Coaching Client Agreement (“Agreement”) is entered into by and between Hopeheartslove, LLC (“Coach,” “Hopeheartslove,” “we,” “us,” or “our”) and the purchasing client (“Client” or “you”).
By purchasing, booking, or participating in any coaching service offered by Hopeheartslove, you acknowledge that you have read, understood, and agree to the terms below.
1. Nature of coaching services
Hopeheartslove provides non-clinical life coaching and personal development support. Coaching is designed to support reflection, self-awareness, inner clarity, emotional insight, self-trust, and personal growth.
Coaching is not therapy, counseling, psychiatry, mental health treatment, medical care, legal advice, financial advice, tax advice, or any other licensed professional service.
Hopeheartslove does not diagnose, treat, cure, prevent, or manage any medical, mental health, or psychological condition.
2. Coaching relationship
The coaching relationship is a professional, collaborative relationship focused on personal growth and self-development. It is not a therapeutic, medical, legal, or financial relationship, and no therapist-client, doctor-patient, attorney-client, or other licensed professional relationship is created.
3. Client responsibility
You understand and agree that you are solely responsible for your own physical, mental, emotional, and spiritual well-being, decisions, choices, actions, and results arising out of or resulting from the coaching relationship.
You accept full responsibility for how you interpret, implement, or respond to any coaching reflections, questions, practices, meditations, or suggestions.
4. No guarantees
Hopeheartslove makes no guarantees, representations, or warranties regarding any particular outcome, result, or experience from coaching services.
Individual outcomes vary. Coaching may support insight and growth, but results depend on many factors, including your own readiness, participation, circumstances, and actions.
5. Scope of services
The scope of services includes only those coaching services specifically purchased or agreed upon. Depending on the offer, this may include:
one-time coaching sessions;
coaching packages;
follow-up written reflections;
email support if expressly included;
guided meditations or grounding exercises;
reflective practices or worksheets;
other materials described in the specific offer.
No additional services are included unless expressly stated in writing.
6. Scheduling and session attendance
Coaching sessions must be scheduled in advance through the method provided by Hopeheartslove.
You are responsible for attending sessions on time. If you arrive late, the session may still end at the originally scheduled time.
7. Cancellation and rescheduling
Unless a different policy is stated for a specific offer, at least 24 hours’ notice is required to cancel or reschedule a coaching session.
Sessions missed without sufficient notice may be forfeited and may not be refunded or rescheduled.
Hopeheartslove reserves the right to reschedule a session due to illness, emergency, or unforeseen circumstances. In that event, the session will be rescheduled to a mutually agreeable time.
8. Fees and payment
All fees are due as stated at the time of purchase or booking. Payment must be received in full before services begin unless a written payment arrangement has been agreed upon.
If a payment plan is offered, you agree to complete all scheduled payments according to the agreed terms.
Failure to make timely payment may result in suspension or cancellation of services.
9. Refunds
Unless otherwise stated in writing, coaching services are non-refundable once purchased. If a coaching package includes multiple sessions, unused sessions are not guaranteed to be refunded.
Any exception is at the sole discretion of Hopeheartslove unless otherwise required by law.
10. Confidentiality
Hopeheartslove will treat information shared in coaching sessions with care and discretion. However, coaching is not therapy, and coaching communications are not protected by the same legal privileges that may apply in a licensed therapeutic relationship.
You understand that electronic communication, including email, online forms, and virtual meeting platforms, may carry inherent privacy and security risks.
11. Appropriateness of coaching / referral out
Coaching is not appropriate for every situation. You understand that Hopeheartslove may determine that coaching is outside the appropriate scope of support for your needs.
Hopeheartslove reserves the right to pause, decline, refer out, or terminate coaching services if it appears that your needs would be better served by a licensed therapist, physician, psychiatrist, attorney, financial professional, crisis resource, or other qualified provider.
12. Emergency and crisis situations
Coaching is not crisis care and is not appropriate for urgent medical or mental health situations.
If you are experiencing suicidal thoughts, self-harm risk, abuse, trauma crisis, psychosis, medical emergency, or any other urgent concern, do not rely on coaching services. Call 911, 988, or contact an appropriate emergency or crisis resource immediately.
13. Spiritual, meditative, or intuitive content
Hopeheartslove may incorporate heart-centered, intuitive, spiritual, grounding, reflective, or meditative elements into coaching or related offerings. These are provided for personal reflection and self-development only and are not a substitute for licensed professional advice or care.
14. Client conduct
You agree to participate respectfully and honestly in the coaching process. Hopeheartslove reserves the right to terminate services without refund if you engage in abusive, threatening, harassing, unlawful, or disruptive behavior.
15. Limitation of liability
To the fullest extent permitted by law, Hopeheartslove shall not be liable for any direct, indirect, incidental, consequential, special, or other damages arising out of or related to coaching services, including decisions made or actions taken by you before, during, or after coaching.
16. Release
You understand that coaching is voluntary and that you are choosing to participate at your own discretion. You agree, to the fullest extent permitted by law, to release Hopeheartslove from claims arising from your participation in coaching services, except where such release is not permitted by law.
17. Governing law
This Agreement shall be governed by and interpreted in accordance with the laws of the Commonwealth of Massachusetts.
18. Severability
If any provision of this Agreement is found to be invalid or unenforceable, the remaining provisions shall continue in full force and effect.
19. Entire agreement
This Agreement reflects the full understanding between you and Hopeheartslove regarding coaching services and supersedes prior discussions or understandings relating to the coaching relationship, except for any separate written policy or offer-specific terms expressly incorporated.

Refund, Cancellation, and Rescheduling Policy

This policy explains the terms that apply to purchases, bookings, coaching services, digital offerings, and products from HopeHeartsLove.
By purchasing any product or service from HopeHeartsLove, you agree to this policy.
1. Coaching services
Coaching sessions and coaching packages are reserved in advance and involve dedicated time, preparation, and scheduling.
Unless otherwise stated for a specific offer:
payment is due in full before the session or package begins;
at least 24 hours’ notice is required to cancel or reschedule a session;
missed sessions or cancellations made with less than 24 hours’ notice may be forfeited and are not guaranteed to be refunded or rescheduled;
if a package includes multiple sessions, unused sessions are generally non-refundable unless otherwise required by law.
2. One-time sessions
Single coaching sessions are non-refundable once booked, except where required by law. If sufficient notice is given, the session may be rescheduled according to this policy.
3. Coaching packages
Coaching packages are purchased as a commitment to a process and are non-refundable once the package begins, except where required by law.
If a package includes an expiration period, unused sessions not used within that time may be forfeited unless otherwise agreed in writing.
4. Digital products
Because digital products, downloadable resources, guided meditations, audio offerings, and similar materials are delivered immediately and cannot be returned, all digital product sales are final and non-refundable, except where required by law.
5. Custom, commissioned, and personalized items
Custom, commissioned, made-to-order, channeled, or personalized products involve time, creative labor, and individualized preparation.
For that reason, all such sales are final and non-refundable once work has begun, except where required by law.
6. Physical products
For non-custom physical products, returns may be accepted within 14 days of delivery if the item is returned unused, undamaged, and in its original condition.
Unless the item arrives damaged or incorrect, return shipping costs are the responsibility of the customer.
7. Damaged or incorrect items
If a physical product arrives damaged or if you receive the wrong item, please contact Hopeheartslove at susan@hopeheartslove.com within [7] days of delivery and include your order number and photographs if applicable.
Hopeheartslove will review the issue and determine an appropriate resolution, which may include replacement, store credit, or another remedy at its discretion or as required by law.
8. No-shows and late arrivals
If you do not attend a scheduled coaching session and do not provide sufficient notice, the session may be treated as used and may not be refunded or rescheduled.
If you arrive late, the session may still end at the originally scheduled time.
9. Exceptions
Any exception to this policy is made solely at the discretion of Hopeheartslove unless otherwise required by law.
